Privacy Policy

True Collar Built ("we", "us") is a software studio based in Alberta, Canada. This policy explains what personal information we collect through truecollarbuilt.com, our messaging (text and email) and the services we provide to clients, how we use it, and the choices you have. We follow Alberta's Personal Information Protection Act (PIPA) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

We don't sell personal information, and we don't buy lists.
Texts and emails
When you send us a request, you agree that we can text and email you about it. That includes an immediate reply and a few follow up messages if we haven't heard back. We stop automatically when you reply, and we never message you more than six months after your request unless you've given us permission to keep in touch. You can opt out at any time by replying STOP to a text or using the unsubscribe link in any email.
Website analytics and cookies
Our own visit counts. When you load truecollarbuilt.com we record where the visit came from and the page you landed on. We don't store your IP address. To count the same person only once per day we keep a scrambled code (a one way hash) that changes every day and can't be turned back into your IP address or identity. This uses no cookies.
Google Analytics. If you choose "Allow analytics" in the cookie banner, we load Google Analytics, which sets cookies to measure how visitors use the site. Google processes this data under its own privacy policy (policies.google.com/privacy). If you choose "No thanks", Google Analytics never loads. You can change your choice at any time using "Cookie settings" at the bottom of this page.
We also store your cookie choice in your browser so we don't ask again.
AI tools
We use Google's Gemini AI to help draft replies and to summarize incoming messages so we can respond faster. The text of your request or message is sent to Google for this purpose. Automatic replies are written by AI following instructions and templates we set up, and we read the conversations and reply personally.
Who we share it with
We share personal information only with service providers that help us run our business, and only what they need:
- Twilio for sending and receiving text messages
- Twilio SendGrid for sending and receiving email
- Google for Gemini AI and, if you allow it, Google Analytics
- DreamHost for hosting our servers
- Square and Stripe for payments, when you pay an invoice or subscription
Some of these providers store or process data in the United States, where it may be subject to the laws of that country. We may also disclose information when the law requires it.
How long we keep it
We keep lead and conversation records for as long as they're useful to answer you and manage our relationship, and client records for as long as we provide services plus the time we must keep business and tax records. Ask us and we'll delete information we no longer need to keep.
How we protect it
Our sites and admin tools run over encrypted connections (HTTPS). Access to our systems is limited to our team, logins are protected, stored client credentials are encrypted, and our servers are backed up and monitored. No system is perfectly secure, but we work to keep your information safe.
If a breach of personal information in our care creates a real risk of significant harm, we will notify the people affected and the Office of the Information and Privacy Commissioner of Alberta, as the law requires. Your choices and rights
- Ask what personal information we hold about you and get a copy
- Ask us to correct it or delete it
- Stop texts (reply STOP) or emails (unsubscribe link) at any time
- Allow or refuse Google Analytics cookies using "Cookie settings"

Our clients' websites
We build and host websites and systems for other businesses. When we do that, each business decides how it uses its customers' information, and its own privacy policy applies. We handle that information only to provide our services to them.
Changes
If we change this policy we'll update the date at the top of this page. Significant changes will be highlighted on the site.
